Ordering official Augustana College transcripts

An official transcript is an academic record issued by the Office of the Registrar. Official Augustana College transcripts include courses, grades and credit hours earned, along with any degrees conferred. Official transcripts include the college seal and the signature of the college Registrar.

Electronic and paper transcript request

Augustana College has authorized Parchment to provide online transcript ordering for electronic and paper transcripts to our alumni and former students. You can request your Undergraduate (BA, BS, Post-Bacc. or non-degree) or your Master Program/Graduate (MS) transcript. Current students* can request electronic transcripts in Parchment through Arches. To order a transcript, login to the Parchment secure website by clicking the yellow link above.

The online service includes a step-by-step ordering process, including delivery options, attaching documents, and fees which can be paid using any major credit card. Multiple transcripts with multiple destinations can be ordered during a single online session. Orders may be placed 24 hours a day, seven days a week. You may track the progress of the order as well as receive emails of the status.

Fees

The cost is $8 per transcript requested in Parchment; there is no charge to current students requesting their transcript through Arches.

Delivery time

Electronic transcripts typically are sent from the transcript vendor on the same business day after processing begins; paper transcripts will be processed during regular Office of the Registrar business hours and typically are sent within 1-5 business days by regular USPS mail after processing begins and up to 10 days during peak processing times (after final grades and graduation).

Pick-up service will be available during regular Office of the Registrar business hours once you receive notice that your transcript is ready.

Holidays

Transcript processing does not occur during college holidays, campus closures and recesses. See below for the holiday schedule.

Parchment customer support

If you need help or have questions about your Parchment order, click the “Support” button on the Parchment storefront page. If you are a former student but are being redirected to Arches, this means your Parchment account has you set as a current student. To fix this, you will need to go to your Parchment Profile tab, Account Settings, Transcripts tab and update your Enrollment Info to Not Currently Enrolled with the last year of attendance, save. 

Name, address or email change

To change the name on your record or address prior to ordering, update your information here. Place your transcript order after the name change has been updated by the Alumni office. Contact alumni@augustana.edu or 309-794-7589 for further questions.

Current students: You can update your information in Arches under User Profile. For a legal name change, please visit the Office of the Registrar with your legal documentation and new state ID prior to your transcript order.

Supplemental documentation/attachment 

Attachments may be uploaded within the order form to be sent with the transcript. Approved attachments include transcript matching forms. (AMCAS, CSDCAS, PTCAS, LSAC, etc.) See below for more details.

End of semester grades/degrees 

Current students can select "Hold for Grades" which will hold your transcript until the current term ends, or "Hold for Degree Posted" which will hold your transcript until the current term ends and your degree has been conferred. See the Academic Calendar.

Transcript Holds

Augustana College will not release transcripts for students with any outstanding financial obligation to the college. An exception to this policy will be made when requests for transcripts are made for any of the following reasons:

  • To complete a job application;
  • To transfer to a higher education institution from another higher education institution;
  • To apply for state, federal, or institutional financial aid;
  • To join the United States Armed Forces or Illinois National Guard; or
  • To pursue other postsecondary opportunities.

Current and former students who are unable to obtain an official transcript in Parchment due to an outstanding financial obligation but are in need of a transcript for one of the above reasons may obtain a transcript by contacting the Business Office via telephone at 309-794-7390. After the Business Office verifies that the request is made for one of the stated exceptions, the student must request their official paper transcript request in Parchment or Arches on the same day the Business Office verifies the request. 

Holds will be placed on a student account for any unpaid obligations owed to Augustana College after the specified due date. An unresolved hold on a student account will prevent a student from obtaining an official transcript (unless the request is made for the reasons listed above) and may prevent the student from registering for subsequent terms or receiving their diploma.

The determination of whether to send an account to an outside debt collector involves consideration of numerous factors, including but not limited to the amount of the debt, the responsiveness and payment history of the individual responsible for the debt, and the length of time the debt has been unpaid. Generally, the College will send an account to collection when a financial obligation is in excess of $1,000 and the amount has remain unpaid for longer than six months. A hold will continue on any account sent for collection until it is paid. 

Other Information

If an email address or mailing address correction is requested after the transcript has been processed, the requestor will be responsible for fees associated with placing a new request for sending the updated transcripts.

Electronic transcripts that expire for lack of action by the recipient will need to be requested again and additional fees will apply.

Once a mailed transcript request is processed by the Office of the Registrar, Augustana College is not responsible for delays due to post office handling or delays in processing on the part of the recipient. The Office of the Registrar cannot tell a requester how long it will take for the transcripts to arrive at the requested destination. It is extremely rare to have a transcript not arrive at the intended location. Unless a transcript is returned to the College damaged, the requestor should plan to request and pay for a new transcript. Augustana does not offer overnight mail services for transcripts.

Academic Year Office hours: Monday - Friday, 8 a.m. - 4:30 p.m. CST

Holidays: The Office of the Registrar, along with all campus offices, will be closed on the following observed holidays: Good Friday, Memorial Day, Juneteenth, Independence Day, Labor Day, Thanksgiving (closed Wednesday through Friday), Christmas/winter recess (Friday, Dec. 22 - Monday, Jan. 1). No services will be available and no transcripts processed during periods when the college is closed. 

In addition to the holiday closures noted above, the office will have some additional closures/adjusted hours, please reach out to us at our office email address registraroffice@augustana.edu during this time:

  • Starting 4pm February 23 - March 3, 2024 - no paper transcripts processed and some electronic requests may be delayed until March 4.
  • Starting 4pm March 15 - March 24, 2024 - no paper transcripts processed and some electronic requests may be delayed until March 25.
  • Starting 4pm June 26 - July 8, 2024 - no paper transcripts processed and some electronic requests may be delayed until July 9.

Summer Office Hours: Monday - Thursday, 8 a.m. - 4:30 p.m., Friday from 8 a.m. - Noon CST. In addition, over-the-counter and rush transcript services are not available every day.

Alumni and former students- May request transcripts with request form via email, mail, fax or in person.

  •          Please complete and sign the Transcript Request Form.

  •          To send your request form- you can mail the form with payment, scan/take picture and email or fax. If you have a document that needs to accompany your transcript, please include.

  •          Please allow 1-5 business days for regular processing and up to 10 days during peak processing times (after final grades and graduation). Transcripts will be sent by regular USPS mail.

  •      In person requests- forms available at the Office of the Registrar located in room 109 Bahls Campus Leadership Center (old Founders Hall).

Payment (for transcript request form requests only)

  •          There is a $12 fee per transcript mailed; $20 fee per transcript for rush orders* (same day processing); $20 fee per transcript faxed. (Faxed transcripts do not carry the Augustana College seal and by nature are unofficial)

  •      Payment can be made by check (payable to Augustana College), cash, money order or call/email the Office of the Registrar to make credit card payment with Visa or MasterCard. Please do not mail cash.

  •          International requests require payment by a US issued credit card, money order, or cash. Otherwise, you must make the transcript request through Parchment.

  •          Declined credit cards and unpaid transcript requests will be discarded within one week of receipt.

*Please note that rush processing does not guarantee that a transcript will leave the Augustana campus the same day, but it will go out in the next mail service.

Current students- May request paper and unofficial transcripts through Arches with no fee. 

 

Unofficial transcripts

Current students may retrieve an unofficial transcript in Arches with no fee. Unofficial copies are not available to alumni or former students. See the request process to obtain an official copy. 

  • Students forwarding their official transcript to another individual or grad school is considered unofficial. 
  • Unofficial transcripts contain courses taken and grades, however does not have the College name or seal.

 

Additional information

Uploading transcripts

The Office of the Registrar does not upload electronic transcripts or enrollment information for students. Please do not forward links for graduate school admission or employers to our staff; these requests will go unfulfilled. Students are responsible for uploading their own academic information to all external websites and pages.

Supplemental documentation/attachment with transcripts

Students who have additional documents or attachments that are required to be included with the official transcripts for graduate schools, it is your responsibility to upload in Parchment with your transcript request, or deliver those documents to the Office of the Registrar by mail, in-person or email them to Registrar Office when you make your transcript request. The college will only include attachments from the institution or organization if it matches the recipient (AMCAS, CSDCAS, PTCAS, LSAC, etc.).

We will not include materials that do not represent an official document of Augustana College. Here is a list of attachments that will not be sent with official transcripts: 

  • ACT, SAT, TOEFL, IELTS, AP, IB, A-Level or other pre-enrollment standardized test scores
  • Transcripts from high schools or other institutions attended
  • Letters of recommendation (including those from employees or faculty)
  • Enrollment verifications or class schedules
  • Graduation candidacy confirmation

Students who need Augustana documents (verifications, schedules, etc.) may request them in Arches. For tests and scores not originating at Augustana, the student should contact the organization, school or agency where they originated. If a student needs these documents to be sent together, they should request all materials, including transcript, be sent directly to the student and then mailed together by the student. 

Note: Your email with attachments to our office DOES NOT meet the federal mandate for a legal release of records. A separate transcript request through Parchment, Transcript Request Form or in Arches is required in addition to submitting your attachments.

Obtaining documents originating from another agency or Institution

In accordance with national record release standards, we do not release documents that have become the property of Augustana College through a legal release to a third party (Augustana). We are not the official legal custodian of record for any documents that did not originate at Augustana College and therefore do not have the legal authority to release them. This includes documents such as high school records, ACT/SAT scores, AP/IB scores or college transcripts from other institutions. These records are the property of the college and are for our internal college purposes only. Please contact the originating agency, organization or institution that produced the original records to obtain a legal copy.
