Work hours and academic responsibilities

Student employment should support, not interfere with, academic progress. Students are responsible for tracking their combined work hours across all campus positions. Supervisors are responsible for scheduling students within applicable college and federal limits.

Students may not work during a scheduled class. International students must comply with federal work-hour restrictions.

Academic-Year Work-Hour Expectations

When classes are in session, students should maintain a work schedule that supports their academic responsibilities.

Domestic students

Domestic students are generally encouraged to work no more than 10 hours per week across all Augustana student employment positions during the academic year.

The 10-hour guideline is an institutional expectation intended to support a reasonable balance between employment and academics. It is not a federal immigration limit.

A domestic student may be permitted to work more than 10 hours during a particular week when additional work is approved by the appropriate supervisor or department and departmental funding is available.

International students

International students must comply with federal immigration requirements governing employment.

Augustana College limits international student employees to no more than 19 hours per week while classes are in session. This is an institutional limit intended to help students remain below the federal maximum. Hours from all qualifying positions must be combined when determining compliance. The 19-hour Augustana limit includes all hours worked through regular on-campus student employment, the Flexible Employment Program, multiple campus departments, and any other position that counts as on-campus employment under the student’s immigration status.

Required breaks during shift

Illinois employers must provide a break to employees who work at least seven and a half continuous hours. This break must be at least 20 minutes long, and it must start no later than five hours after the beginning of the shift.

Official School Breaks and Summer Employment

Students may be permitted to work additional hours during official college breaks or approved summer periods when classes are not in session.

Domestic and eligible international students may work up to 40 hours per week during an official break or approved summer employment period when additional work is approved by the appropriate supervisor or department and departmental funding is available.

Permission to work up to 40 hours does not guarantee that a student will be offered 40 hours of work. Available hours depend on departmental needs, funding, and position requirements.

Working During Scheduled Classes

Students may not work and will not be able to clock into TimesheetX during a time when they are scheduled to attend class. An exception will be made in instances when the class was officially canceled or another allowable exception has been reviewed and approved.

Counting Hours Across Multiple Positions

Weekly limits apply to the student, not separately to each job. A student who holds more than one position must combine the hours worked in every Augustana student employment position during the Monday-through-Sunday workweek.

Students must accurately record their hours under the correct position in TimesheetX.

Benefits and leave

Student employment positions are not considered permanent employment and are not eligible for unemployment compensation benefits upon discontinued employment. Student employees are not eligible to receive paid vacation, holiday, leave, medical insurance programs, retirement benefits, or payment for working during a school closure. Students are covered by Worker’s Compensation insurance for on-the-job injuries. Supervisors must be informed immediately about any on-the-job injuries.
