Composing Emails

Create a New Email Message

1) Click on Compose Mail

Click on Compose Mail

2) In the To box type first or last name of recipient. On-campus users will be shown. Arrow down and select their name or type the entire name.

3) Type in a Subject line

5) When complete press send

6) To copy or blind copy click Add Cc and/or Add Bcc

Carbon Copy (CC) and Blind Carbon Copy (BCC)

When do I use CC?

When you want a second person to receive a copy of an email and you want all recipients to know who received the message. CC stands for "Carbon Copy"; it is a reference to when people used carbon paper to make a less official copy of a memo they were typing.

When do I use BCC?

When you want a second person to receive a copy of an email, but you don't want all recipients to know that they received the message. BCC stands for "Blind Carbon Copy" and refers to when people used carbon paper to make less official copies of memos.

Adding Attachments

1) Click on Attach a file.

2) Find the file you wish to attach

Note: When file is fully loaded name of file will appear.

3) To attach another file, click Attach another file.

Click on Attach Another File

4) Finish your message and click Send

Send

Keep in mind that you can't send executable files or messages larger than 25 MB.

Removing Attachments

If you'd like to remove a file you've attached to a message and are using the advanced attachment features, uncheck the box next to the file.

Note: If you're using the basic attachment features, click the Remove link.

Inserting Images

Before you can insert an image into the body of an email, you need to enable the Inserting Images Google Lab.

To enable Inserting Images:

1. Go to your Inbox

2. In the top right corner click on Settings

3. Go to the Labs tab

4. Scroll down until you find Inserting Images by Kent T and click Enable

5. Scroll to the bottom of the page and choose Save Changes

To insert an image in an email:

1. Create a new email message

2. Put your cursor where you want the image to be inserted

3. Click the Insert Image icon

4. You can either upload a picture that you have saved on your computer or type a web address for a picture. If you want to upload a picture:

  • Click on Browse
  • Navigate to where you have the picture saved and double click on the picture you want to insert
  • Click OK

5. If you want to resize the picture you can click on the picture once to select it and then choose Small, Medium, Large, Original, or you can drag the corners of the picture to resize to the desired size.

Auto Signature

Signatures are separated from the rest of your message by two dashes. If you don't want your signature to appear on a specific message, you can delete it manually before sending the message. Just highlight the text and delete it before sending.

1) Click on Settings and then click on the General tab

2) Scroll down the page and create your signature in the field provided

Enable Signature Tweaks

You will most likely want to enable the Google Lab Signature Tweaks to make sure that your signature appears above the reply text when replying to an email. To do this:

1. Go to your Inbox

2. In the top right corner click on Settings

3. Go to the Labs tab

4. Scroll down until you find Signature Tweaks and choose Enable

Out of Office Response

1) Click on Settings and then click on the General tab

2) Scroll down the page to the Vacation responder section and fill it in

  • Make sure that the bubble next to "Vacation responder on" is selected
  • Put in the start and end dates to make sure that you don't send early or late "Out of Office" responses
  • Fill out the Subject and Message sections; this is what will be sent to people who email you during the set time frame

3) Save Changes
