Closing and Check Out Information
2012-2013
The school year is coming to an end and soon it will be time to check out of you residence hall or house. Please review the following information to prepare for closing.
12:00 Noon Saturday, May 18th:
Check-out deadline for first-year – junior residents not involved in graduation.
12:00 Noon Monday, May 20th:
Final check-out deadline for all remaining students except those who will be residing in on-campus summer housing.
Attend Your Floor Meeting
Every CA will schedule a closing meeting to discuss check-out procedures. Since these procedures vary somewhat from building to building, it’s important that you attend or follow-up with your CA later.
CHECKOUT: You’ll need to pre-schedule a room inspection appointment with your CA prior to your departure. Please clear your room of your belongings and make sure it’s thoroughly cleaned. If you disagree with your CA’s damage assessments, you’ll have the opportunity to appeal to your AC in person or via email. This must be done, however, BEFORE you leave campus.
Make Sure Your Room Is In Great Shape
Return your room to as close to its original condition as possible. While beds don’t have to be lofted, they must be configured as a twin, bunk or loft for the convenience of the next user. Furniture should be wiped down (inside and out), wastebaskets emptied and floors swept and mopped. Tape, other adhesives, and their residue must be removed from inside the room, the door, and immediate hallway area. Brooms, dust pans and all-purpose cleaning products are available for checkout at every service desk.
For especially large items that are left in student rooms and corridors, a $100.00 charge will be assessed to cover costs necessary to employ a moving company to remove them.
How To Handle Damage Charges You Didn’t Cause
If you and your roommate(s) mutually decide that a damage is the sole responsibility of just one of you, you should request a Damage Responsibility Form from your CA. The form must be signed by all room residents and should be submitted to your CA prior to your departure.
Keep the Hallways and Public Areas Clear
Any personal possessions left outside your room will be discarded.
Recycle and Donate!
Designated recycle areas are located in every hall lobby for NON-PERISHABLE foodstuffs as well as for furnishings, CLEAN appliances, linens, and carpeting, and clothing. Collection centers are located in the Andreen, Erickson and Westerlin main lounges. Please do the right thing for the Quad Cities community as well as for our environment!
Pay Attention to Closing Trash Procedures
Most trash rooms will be locked to encourage disposal in the dumpsters outside the building. Our custodial staff thanks you for this extra effort, which will spare them many hours of additional work.
Respect Others
During finals, we expect that you’ll be especially considerate of your roommate(s) and neighbors. Please respect finals quiet hours (May 13-17).
Other Reminders
Getting Permission to Stay Later: If you’re not involved in graduation (as graduates or support staff) and wish to stay past noon on May 18th, you must seek permission from your AC. A $25.00/day fee, paid in advance, is required.
Conduct During Finals: Policy violations that occur after the completion of a resident’s final exams will result in immediate dismissal from campus and doubled fines.
Laundry and ID Cards: Don’t throw them away! Keep them in a safe place over the summer as you’ll need them for next year.
Damage Fines: Individual room damages and common area damages (damages throughout the academic year to residential areas where the guilty party is not known) will be posted to your student bill a few weeks after closing.
Summer Residents: If you’ve applied for summer housing, you may stay in your current room until Friday 24 May. Please watch for emailed information informing you of the summer relocation process.
Storage: Please refer to the separate attachment or posters located at each hall service desk.
