General Formatting Tools

To turn editing on, click on the Edit Page button (one of the four main buttons at the top right - hover your curser over them to see what they do).

Changing the Title of a Page

To turn editing on, click on the Edit Page button (one of the four main buttons at the top right - hover your curser over them to see what they do).

  • Select the text in the title field
  • Type a new title
Note: This will also change the name in the Navigation!

Editing the Body Text of a Page

To turn editing on, click on the Edit Page button (one of the four main buttons at the top right - hover your curser over them to see what they do).

  • Click on the Body Field
  • Make your changes

  1. Click on the Insert menu
  2. Click Choose File
  3. Locate the image you want on your computer
  4. Select the image
  5. Click Open

  1. Select the text that you would like to make into a link.
  2. Either click on the link button in the formatting tools (looks like a chain with three links) or go to the Insert menu and choose Link.
  3. You can then either choose a page within your portfolio or a page outside of your portfolio to link to:
    • To choose a page within your portfolio:
    1.  
      1. Choose Existing page in the sidebar to the left of the window
      2. Navigate to the page you want within the site map
    • To choose a page outside of your portfolio:
    1.  
      1. Choose Web address in the sidebar to the left of the window
      2. Type the URL of the page that you want to link to into the Link to this URL: field
  4. Decide if you want to make the link open into a new window. If you want the page to open in a different window, click on the checkbox at the bottom. This should be a conscious choice as too many windows opening up can be frustrating to those who visit your site.
  5. Click OK

Table of Contents

If you use headers in the text of your pages, this gadget will pull the header text into an automatically updating table of contents.

To create headers on your page:

  1. Make sure that editing is on by clicking on the Edit button (the pencil at the top right of the page)
  2. Select the text that you wish to make into a header
  3. Go to the Format menu
  4. Choose the appropriate heading type (i.e. Heading, Sub-heading, Minor-heading, or normal paragraph text)

To insert the Table of Contents:

  1. Go to the Insert menu
  2. Choose Table of Contents
  3. Decide if you would like to customize the look of the table of contents:
    • You can change the width if you would like to, otherwise leave the width field blank
    • You may see an option to choose how many levels to show, which refers to the heading types - sub-headings and minor-headings will be nested underneath the main heading types
  4. Click Save

Subpage Listing

If you insert a subpage listing into a page, it will automatically create a listing of the pages that nested below in the site tree of the page that you designate it. Descriptions of the options for subpage listings:

  • Title - You can change the title that shows up at the top of the listing
  • Show subpages of - You can choose which page of which you want a subpage listing
  • Show levels - You can decide how far the listing should go (i.e. if you have a page that has subpages and those subpages also have subpages and on and on, you can decide how far down in the tree that you want the listing to show)
  • Width - You can decide how wide you want the box surrounding the listing (called a gadget) to be
  • Appearance - There are two options for the appearance. One option allows you to change the background of the gadget in the Manage site section under the Colors and fonts section.

Horizontal Line

Useful if you use announcement (blog) pages. Embed an automatically updating list of your recent blog posts/announcements. Descriptions of the options available for a Recent Announcement gadget:

  • Show posts from - Allows you to choose from a list of the blogs/announcement pages that you have on your site.
  • Post length - Gives you three ways to display your updates within the gadget:
    • Short Snippet
    • Medium Snippet
    • Full Post
  • Include thumbnail of first image in post
  • Number of posts to display - type the number you would like.
  • Add an intro post to your announcements - To add an intro post, you need to first click on the + sign in this section of the window. Then just type your post in the available field.
  • Display - Check on/off the options for a border or a title. You can also change the title of the gadget here.

Recently Updated Files

  • Show files from - Choose which file cabinet that you want the gadget to gather information from.
  • Number of files to show - You can choose how many of the most recently updated photos that you want the gadget to show.
  • Display - Check on/off the options for a border or a title. You can also change the title of the gadget here.

Useful if you use list pages. This embeds and automatically updating list of the list items that have been recently updated on your site. Descriptions of the options that are available:

  • Show list items from - Choose which list page that you want the gadget to gather information from.

Descriptions of the options that are available:

  • Change the name - You'll want to do this or else the gadget will be named "Text Box"
  • Width - Change the width from the default. If you like the default, just leave it empty
  • Insert/Format/Table menus - These are smaller versions of the menus on the page that the gadget will be inserted (i.e. you can put a picture in a text box, but you can't put a text box within a text box).
  • Format bar - Similar to the format bar on the main page.

Calendar

You can imbed one of your Google calendars into your page for your viewers to see. Before you put the calendar on your site, make sure that the people viewing your site will have access to the calendar, or they may get an error.

  1. Choose the calendar that you would like to insert.
  2. Click Select.
  3. If you would like to display more than one calendar, click on the Display another Calendar link and repeat steps 1 and 2.
  4. You can change the height and width if you would like. Otherwise, leave the Height and Width fields blank.
  5. Decide which viewing format you would like your calendar to show: week, month, or agenda.
  6. Choose the time zone you would like to display.
  7. Choose the display options that you would like to show and uncheck the ones that you don't want to show.

Chart

If you have a spreadsheet with data in your Google Documents, you can insert or create a chart from it and put it into your site. Make sure that all privacy preferences are accounted for so that your viewers can see your chart. For more detailed information, view Google's official help.

Document

If you have a doc located in your Google Documents, you can embed it into the page. If you are going to do this, it is imperative that you make sure that the doc is viewable by the people that you are sharing your portfolio with!

To embed a document:

  1. Go to the Insert menu
  2. Choose Doc
  3. Locate your doc in the list of Google documents and click Select
  4. Consider the options and decide how you want them to appear
  5. Click Save

Drawing

  3. Locate your drawing in the list of Google drawings and click Select
  4. Consider the options and decide how you want them to appear
  5. Click Save

Google Group

You can embed the list of emails sent to a Google group (what we use on campus for our email lists).

  1. Go to the Insert menu
  2. Choose Google Group
  3. Type in the URL of the group
    • If you don't know the URL, go to your email, go to the group you want to embed, copy the URL, and then paste it into the field
  4. Consider the options and decide how you want them to appear
  5. Click OK

Map

  1. Upload your video to Google Docs, YouTube, or Google Video
    • Google Docs - You have limited space in your docs, but you can upload smaller video clips to make them available for your sites.
    • YouTube - If you create a YouTube account, you can upload up to 15 min videos. You can keep the video private to everyone except those with the link. Once you copy that link, you can use it in your page while still keeping it private to the general public.
  2. Go to the Insert menu
  3. Go to Video
  4. Choose which type of video you want to use
    • Google Docs - Choose from the videos you have in your docs and click Select
    • YouTube - Paste the URL of the YouTube video that you want to embed (remember that if the YouTube video is your own, you can create a private link so that only those with access to the link can view it) and click Save
