Augustana's Mailing Lists
Augustana uses Google Groups to organize our email lists. You can email our main contact list by typing in their group name. Individuals will receive emails differently according to how they have adjusted their group settings. One of the most popular settings is Digest Mode, where users receive 25 emails at a time or at least 1 per day for each distribution list. This helps to keep their inboxes uncluttered. See below for more information about Digest Mode.
While the distribution lists keep those in a group aware of issues that are relevant to the group as a whole, they can also fill inboxes with emails that do not pertain to the individual users. Important emails can become lost in a sea of impersonal ones.
When email is sent to a large distribution group, for example "All Students", Google will gather these messages, combine each individual email into a single message, and deliver the collection as one single email - complete with a indexed header - allowing the recipient to jump directly to subjects of interest. Instead of receiving ten email messages addressed to All Students, you will receive one email with ten subjects with the full content of each message included further down the email.
You can reply to an individual message by clicking it's subject and replying within Google Groups. You will want to make sure that you choose reply instead of reply-all if you only want to reply to the sender. If that isn't an option, go back to your digest email and click on the email address of the sender to reply to them.
Attachments are not shown directly in the Digest. To download and open an attachment you need to:
1) Click on the subject of the email within the Digest. This will bring you to the individual email within the Google Group.
2) The attachment will be at the bottom of the email:
Each of these large address groups will now be set to deliver e-mail once a day (maybe twice if the number of messages to the group exceeds 25). Unfortunately, the delivery time for the aggregated message is not exact, merely documented as between midnight and noon. This delivery schedule will require a bit more planning, as messages to large groups will no longer be delivered instantaneously.
There are offices and personnel within the College who will be given access to "Priority" distribution lists - distribution lists that will deliver email to large groups of recipients immediately. Offices such as the Dean of Students, Registrar, Security, and the President's Office will have the capability to send immediate e-mails to the campus.
These "Priority" lists will be used only to communicate information critical to the functions of the institution and emergency notifications. Access to the priority lists will require approval from either Dean Lawrence or Dean Campbell.
